Metrigy's research shows growing adoption of these applications to better support how distributed teams collaborate, design and manage work. As of the end of 2025, we projected that adoption was near-universal, with 76.6% of companies already using or planning to adopt at least one asynchronous collaboration tool. Project management tools were the most widely adopted, followed by content collaboration, collaborative note-taking and workflow automation.
How asynchronous collaboration tools are evolving
Vendors are rapidly adding capabilities to their tools to increase their usefulness. For example, Slack has added a shared document capability (Canvas) and task management. Zoom has added shared document creation (also Canvas) to Workplace, as well as asynchronous video creation, workflows and task management. Figma enables users to message one another within the context of designs.
This growth in features can enable organizations to consolidate the number of tools they use, reducing costs, improving manageability, and easing governance, compliance and security.
Vendors across the entire asynchronous collaboration tool market are adding AI agents to query data and to create automated workflows. Vendors are also increasingly opening up their data to third-party AI platforms through MCP. This lets customers pull data into tools like ChatGPT, Claude, Copilot and Gemini.
By building these connections, asynchronous collaboration tools can provide context for AI models and for each other. For example, an AI tool can take access to meeting notes, project management tools and design canvases to track project progress, manage follow-up activities and prepare agendas for upcoming status meetings.
How to pick the right tool
Because of the wide variety in asynchronous collaboration tools, no single tool will meet all of a company's needs. We often find that companies adopt multiple tools that are optimized for specific roles.
For example, a design team may use a visual collaborative app like Figma, whereas software developers may rely on tools like Confluence and Jira to manage code development. Metrigy's research has found a wide adoption of tools, with most companies using Microsoft 365 or Google Workspace for messaging and document collaboration, then deploying additional apps for specific needs.

Selecting the right tools typically starts with an evaluation of need and an inventory of existing tools in use today. Key factors in developing a go-forward strategy include the following:
- Ensuring alignment with current IT stacks to maximize integration and minimize management costs.
- Understanding that no one tool is likely to meet all needs. Flexibility is necessary to enable teams to use the best optimized tools for their needs.
- Ensuring that all tools meet governance, security and compliance requirements,
- Calculating cost and ROI to avoid unnecessary costs.
- Planning for AI integration and adoption to automate and optimize work.
- Establish policies that support asynchronous work to provide employee flexibility.
- Implement KPIs, such as tracking time spent in meetings as well as time required for pre- and post-meeting activities.
- Consider opportunities to reduce context switching and use AI to automate repetitive tasks. Use tools in project and task management apps to measure activities such as resolving issues and moving from project initiation to completion.
